From first call to handover

How I work

Every project starts with a 30-minute call and a written proposal. You see the scope, timeline, price and assumptions before anything starts, and nothing starts until you accept it.

From first message to handover

The same 5 steps for every project, from a short tender clip to a 4D viewer for a site team.

  1. Tell me about the project

    Day 0

Use the form or email me: what you are building, where, and when the tender or the work is due. A short note is enough.

  2. A 30-minute call

    Reply within 2 working days

You and I go through the programme, the model, the deadline and who will see the result, at a time that suits your time zone.

  3. A written proposal

Within 3 working days of the call

Scope, timeline, price and assumptions, in writing. Nothing starts until you accept it.

  4. Delivery with previews

    At agreed points

I share previews at the points set in the proposal, so you can steer while changes are still cheap.

  5. Handover

    On the agreed date

The final files with short notes on how to use them, and the project files where the proposal includes them.

What the proposal contains

It arrives within 3 working days of the call, in writing and in plain words, short enough to forward to your commercial team.

  • Scope

What I will make and what you receive: the deliverables and their formats, the devices a build must run on, and anything that is not included.

  • Timeline

When I need your files, when each preview or build arrives, and the handover date. For a tender, the dates are planned back from your submission date.

  • Price

The price for that scope, and when each payment is due. It changes only if the scope does, and never without your written agreement.

  • Assumptions

What the price and the dates rely on: the files you send and when they arrive, the rounds of changes, who signs off, and the hardware a build must run on.

Nothing starts until you accept the proposal. If something in it does not fit your bid or your programme, tell me and I will revise it.

How the price is worked out

There is no price list, because no two programmes, models or deadlines are the same. I price each project from its scope: I work out the days the work will take, write down the assumptions those days depend on, and the price follows from them.

You get the price in writing before any work starts. If you later need more than the proposal covers, I tell you the cost and the effect on the dates first, and start the extra work only when you agree in writing.

What moves the price

  • The programme: how many activities, and how cleanly they link to the model.
  • The model: clean geometry links quickly, and a model that needs splitting or simplifying takes longer, above all for a headset.
  • What you need to show: the length of an animation, the number of stills, views or scenes, and the resolution.
  • Where it runs: a video, a Windows build, PC VR or Meta Quest.
  • The rounds of changes, and when the programme is frozen.
  • The deadline: a close date limits what fits, and I say on the call what can be done in the time.

Confidentiality and NDAs

  • I am happy to sign your NDA before you send anything.
  • I do every part of the work myself, so your files go to one person. No subcontractors.
  • Your files are used only for your project. Nothing made from them is shown anywhere, this website included, without your written permission.
  • Share files the way your company prefers: a link to your own storage, or an account on your document portal or common data environment.
  • I keep your files only as long as the privacy notice says, and delete them sooner if you ask.

Time zones and where I work

I am based in the United Kingdom and work on UK time: GMT, or BST from late March to late October.

I work with teams in the Gulf, continental Europe and North America. Calls and reviews are booked at times that suit your time zone, so tell me yours when you get in touch.

Between calls, previews and comments travel by email or a shared link, so nobody needs to be online at the same time.

Where I take 4D work

4D work is for projects in the Gulf, continental Europe and North America: sequencing and animation, planning and SYNCHRO support, and any application that plays a construction programme.

VR walkthroughs, site inductions and design review tools that do not play a programme have no regional limit.

Previews, changes and handover

  • Previews at agreed points

You see the work at the points set in the proposal, while it is still easy to change: a draft sequence for an animation, a check report for a 4D model, a build to try for an application.

  • Rounds of changes

The proposal sets how many rounds of changes are included. A round is one list of changes, sent together, so nothing gets lost between emails. For 4D, it also sets when the programme is frozen for the final render.

  • Handover

The final files with short notes on how to use them: MP4 animations and stills, the 4D model in SYNCHRO or Navisworks, or the builds for your devices. The project files too, where the proposal includes them.

Payment

A deposit when you accept the proposal, and the balance on handover. Larger projects are paid in stages instead, at the milestones the proposal sets.

The proposal states the currency and when each payment is due, so the invoices hold no surprises.

Questions

Can you give me a figure for our bid budget?

Yes, once I understand the scope. The proposal gives the price in writing within 3 working days of the call. If your bid needs a figure sooner, say so on the call and I will tell you what drives the cost on your project.

How soon can you start?

It depends on what is already booked, so the proposal gives the start date and the handover date. For a tender, I plan back from your submission date. If the date is too close for the scope, I say so on the call and suggest what fits in the time.

Who do you work with on our side?

Whoever owns the programme, the model or the submission: planners, bid managers, BIM and design managers, and project directors. One named contact for comments keeps each round of changes clear.

What if the tender date moves?

Tell me as soon as you know. Where the work allows, the dates in the proposal move with it. If a new date changes what fits, I tell you before anything else changes.

Do you take on projects in the United Kingdom?

Yes, for VR walkthroughs, site inductions and design review tools that do not play a programme.

4D work is for projects in the Gulf, continental Europe and North America: sequencing and animation, planning and SYNCHRO support, and any application that plays a construction programme.

What happens after handover?

If you need more later, such as a new programme revision, the next phase or an update to a build, tell me what has changed. Later work gets its own short proposal, in the same way as the first.

Tell me about the project

A short note is enough. I reply within 2 working days to arrange a 30-minute call.
